Virtual SOPHE 2020 FAQs

Is SOPHE 2020 cancelled?

The SOPHE 2020 conference has not been cancelled but will be presented virtually. No sessions will take place in the Sheraton Atlanta Hotel. We recommend that you not initiate your travel to Atlanta. Be sure to cancel your hotel reservations as soon as possible to avoid cancellation fees.

Am I registered to attend Virtual SOPHE 2020?

All registered attendees, including those that have modified their registration prior to the announcement on March 10, 2020, will have access to view sessions live via webcasting and on demand.  An email with log-in information for access to these resources will be sent on Tuesday, March 17.

What will virtual SOPHE 2020 look like?

Virtual SOPHE 2020 will include more than 100 presentations and posters that will take place from March 18 through April 7, 2020.  I will broadcast all conference plenaries live on March 18-20, along with some concurrent sessions.  The remainder of concurrent sessions will be broadcast on selected days thru April 7, 2020.  All sessions will be available to registrants on demand, along with all SOPHE materials (including abstracts, electronic posters, and SOPHE Mobile App).  Conference registrants will be able to earn up to 59.75 continuing education credits.

I registered OR have modified my registration for the meeting. What do I do?

You will not need to contact SOPHE regarding your registration status. Your registration will automatically be upgraded to a virtual attendee, which will enable you to access the conference materials, live webcasts and recorded on-demand sessions at your convenience.   An email with log-in information for access to these resources will be sent on Tuesday, March 17.

I have not yet registered for the conference but am interested in participating in the virtual event.  What do I do?

New registrants are welcome to sign up for Virtual SOPHE 2020.  If you are a SOPHE member, login with your email address and the password “VirtualSOPHE2020” to receive member pricing. All other registrants should create an account and sign up to access the live and recorded sessions at https://virtualsophe.elevate.commpartners.com/  You will have access to all live and recorded sessions, the Virtual Exhibit Hall, and additional resources through March 17, 2021 from the comfort of your home or work.

What if I am unable to participate in Virtual SOPHE 2020 live sessions?

If you are unable to tune in for the live broadcast, registered participants can access the recordings by logging into SOPHE’s virtual platform until March 17, 2021.  All sessions will be posted the day after the live session takes place. The process will be similar to how you login for the live programs, but you will be able to view at your convenience. You also can access the Virtual Exhibit Hall, Resources page, poster sessions and more at any time of day convenient for you.

What days or times will feature Virtual SOPHE 2020 live sessions?

In addition to March 18-20, Virtual SOPHE 2020 are being scheduled at 12 pm (ET) and 3 pm (ET) on the following dates.  Be sure to check the virtual conference website for titles of sessions and speakers, as presentations may have changed from the original program:

Who do I contact with questions?

SOPHE is working quickly to communicate widely that the conference will be provided virtually. At this time, SOPHE is developing information regarding points of contact for any queries. Information will be published shortly on the SOPHE 2020 Annual Conference webpage.   We thank you for your patience in this rapidly progressing situation. Additionally, please pay attention to your email as communications are scheduled to be disseminated with key information, including the dates and times that sessions will be live streamed and additional Virtual SOPHE 2020 updates.

Will my full registration fee be refunded?

Full conference and one-day registrants will not be refunded, with the exception of those who cancelled their registration prior to February 27, 2020, per the conference cancellation policy.  Conference registrants will now have an upgraded status that will allow them access to more than 59.75 continuing education credits.  Participants can access the recordings by logging into SOPHE’s virtual platform until March 17, 2021.  They also can access the Virtual Exhibit Hall, Resources page, poster sessions and more at any time of day that is convenient.

I have approved how many CE credits for Virtual SOPHE 2020?

Registrants may earn up to 59.75 credits by participating in all Virtual SOPHE 2020 sessions.  The conference has been approved for up to 27.0 entry-level Category I Continuing Contact Hours (CECHs) and 32.5 advanced-level CECHS.  The National Commission for Health Education Credentialing, Inc. has approved SOPHE and its chapters as designated multiple-event providers of CECHs in health education. SOPHE is a provider of Certified in Public Health (CPH) Renewal Credits. This conference has been approved to award up to 59.75 CPH Renewal credits:

What conference fees will be refunded?

Conferees will be refunded if they registered for:
• Pre- and post-conference workshops
• Tickets for the Atlanta Gay Men’s Chorus performance
• Guest tickets to the Awards Ceremony.
It may take 30 days to process your refund. If you have not received your refund by April 15, 2020, contact info@sophe.org.

How do I cancel my hotel reservation?

You must contact your hotel directly to cancel your reservation as soon as possible. Most hotels will not charge penalties if given at least 24, 48, or 72 hours advance notice.

How do I cancel my airline reservation?

During this time of heightened health concerns, some airlines have relaxed their cancellation policies. Please contact your specific airline for more information on its policies and how to cancel your reservation.

I am a presenting author. What do I do now?

As SOPHE is now virtual, SOPHE professional development staff will contact presenters (including plenary/concurrent session speakers and poster promenade presenters.  If unable to be present live, authors will be provided instructions for recording their presentations.

I am an Ignite Session or Roundtable author. What do I do now?

Due to the time and logistic constraints, unfortunately live Ignite and Roundtable sessions will not be included in Virtual SOPHE 2020. However, we will continue to collect PowerPoints and handouts for both types of sessions and make them available as resources.

I am a poster presenter. What do I do now?

As SOPHE is now virtual, presenters will receive instructions on how to upload their posters for viewing during the virtual conference. Poster promenade presenters will be contacted by the SOPHE professional development staff about their virtual presentation, which will be scheduled some time between March 23-April 7.

I am an exhibitor. What can I do about my shipment?

As SOPHE is now virtual, please do not initiate any shipments to the Sheraton Atlanta Hotel.  If your packages are already in transit via AFP Logistics, please contact Brandi.Whitecotton@AFPlus.com.  If your shipment is in transit with another courier, please contact that courier to redirect your packages.   If your packages have already arrived at the Sheraton Atlanta, please contact MSanford@SheratonATL.com

I am an exhibitor. How can I participate in the Virtual Exhibit Hall?

SOPHE is pleased to offer all exhibitors an opportunity to be showcased in our Virtual Exhibit Hall.  Please stay tuned for instructions on how you can upload video presentations, provide literature, and interact with virtual attendees.  For questions, please contact Heather Flattery hflattery@sophe.org.
