Society for Public Health Education, Inc. (“SOPHE”, “Company“, “we“, “our“, or “us“) respects your privacy and is committed to protecting it through our compliance with this policy. Children’s and Minors’ Data

Our Services are not intended for, and we do not knowingly collect any personal data from, children under the age of 18. If we learn we have collected or received personal data from a child under 18 years old without verification of parental consent, we will delete that information promptly and in accordance with applicable law.

  • Account and contact information, including name, address, email address, business phone number, business fax number,  username, and other contact information you provide us.
  • Professional credentials, membership status, and participation records.
  • If you are a student member and upload a student verification document (e.g., transcripts, certificate of enrollment, letter from advisor, etc.), this documentation is used for verification purposes only.
  • Payment information, including credit card or debit card information and information about the payment methods and services (such as PayPal or Venmo) you use in connection with the Services.
  • Account history, including information about your subscription, account, transactions, purchases, order history, or discounts.
  • Demographic information, including your age, gender, income level, education, or family or marital status, if you have consented to such information collection.
  • Location information, including general geographic location such as country, state or province, or city.
  • Device information, including your IP address, device identifiers, operating system and version, preferred language, hardware identifiers, browser type and settings, and other device information.
  • Content and information you elect to provide as part of your profile.
  • Images, voice recordings, and videos collected or stored in connection with the Services, if you have consented to such information collection.  We may collect information about videos that you view or stream on the Site as well as the accounts that you link together with our Services, including social media accounts.  Please see the “Visual Materials and Consent to Collect, Use, and Disclose Video Viewing History” section of this Policy for additional information.

We also collect:

  • Statistics or aggregated information. Statistical or aggregated data does not directly identify a specific person, but we may derive non-personal statistical or aggregated data from personal data. For example, we may aggregate personal data to calculate the percentage of users accessing a specific Services feature.
  • Technical information. Technical information includes information about your internet connection and usage details about your interactions with the Services, such as clickstream information to, through, and from our Services (including date and time), products that you view or search for; page response times, download errors, length of your visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), or methods used to browse away from a page.

If we combine or connect non-personal statistical or technical data with personal data so that it directly or indirectly identifies an individual, we treat the combined information as personal information.

We do not intentionally collect sensitive personal information (such as health information, biometric data, precise geolocation data, Social Security numbers, or information about race, ethnicity, religious beliefs, or sexual orientation) except where necessary for our services, required by law, or with your explicit, informed consent. We implement additional safeguards for any sensitive personal information we collect.

How we Collect Your Personal and Other Data

You Provide Information to Us

We collect information about you when you interact with our Services, such as when you create or update an account, place an order, subscribe, make a purchase, participate in surveys, sweepstakes, contests, or promotions, or create, upload, or post content to the Services, including reviews, media such as photos, videos, or audio recordings.

Automatically Through Our Services

As you navigate through and interact with our Services, we may use automatic data collection technologies to collect information that may include personal data. Information collected automatically may include usage details, IP addresses, operating system, and browser type, and information collected through cookies, web beacons, and other tracking technologies including details of your interactions with our Services, such as traffic data, location data, logs, and other communication data, and which resources and Services features that you access and use.

First and Third-Party Cookies

Other Similar Technologies

In addition to cookies, there are other automatic data collection technologies, such as Internet tags, web beacons, pixels (clear gifs, pixel tags, and single-pixel gifs), and navigational data collection (log files, server logs, etc.) that can be used to collect data as you navigate through and interact with a website. For example, pixels are small images on a web page or in an email that collect information about your browser or device and can set cookies.  Web beacons are tiny graphics with unique identifiers that are used to understand browsing activity. UTM codes are strings that can appear in a URL when you move from one web page or website to another. The string can represent information about your browsing, such as which advertisement, page, or publisher sent you to the receiving website.

What Cookies and Similar Technologies Are in Use and Why Do We Use Them?

We use certain cookies and similar technologies to operate the Site, to measure and track how you interact with the Site, to ensure the privacy and security of our Site, to enhance your experience and provide you with a more personal and interactive experience, to market to you, to track ad-driven activity, to perform usage analytics, and to otherwise tailor our communications to you. Google Tag Manager. We may use Google Tag Manager, which allows marketed website tags to be managed using an interface. The tool itself (which implements the tags) does not use cookies and does not register identifiable data. The tool causes other tags to be activated which may, for their part, register personal information under certain circumstances. Google Tag Manager does not access this information.  Google Tag Manager is subject to the Google Privacy Policy located at: https://www.google.com/intl/en/policies/privacy.

Facebook Pixel. We may use Facebook Pixel to customize and display advertisements only to Facebook users who have shown an interest in our Site or who have specific characteristics (e.g., certain demographics or interests in certain topics or products determined by websites visited) that we submit to Facebook.  The use of Facebook Pixel helps ensure that our advertisements are in line with the potential interests of users and do not have a nuisance effect.  Facebook Pixel also allows us to track the effectiveness of Facebook advertisements for statistical and market research purposes by seeing whether uses have been redirected to our Site after clicking on a Facebook advertisement.   The Facebook Pixel is directly integrated into our Site by Facebook and can store a cookie on your device.  While the information collected about you through Facebook Pixel may be anonymous to us, the information collected via the Facebook Pixel on the Site as well as other websites on which Facebook Pixel is installed is also stored and processed by Facebook. Facebook may link this information to your Facebook account and also use it for its own promotional purposes in accordance with Facebook’s Data Usage Policy. We share this data with Facebook as a third-party service provider, and Facebook acts as an independent data controller with respect to this information.

LinkedIn Insight Tag.  We use the LinkedIn Insight Tag, a JavaScript tracking tool provided by LinkedIn, on our website. The Insight Tag places cookies and may create a first‑party identifier in your browser to enable us to track website interactions, measure the effectiveness of our LinkedIn advertising campaigns, and build website visitor audiences for targeted advertising.

Through the Insight Tag, LinkedIn collects information such as page views, URL, referrer, IP address, device and browser characteristics, and certain actions you take on our site. This data may be associated with your LinkedIn account (if you are a LinkedIn user) and is processed by LinkedIn to provide aggregated analytics and advertising insights.

We are responsible for obtaining any necessary consent for the use of the Insight Tag and the setting of cookies. Visual Materials and Consent to Collect, Use, and Disclose Video Viewing History

The Site may display live or prerecorded videos or similar audio-visual materials (“Videos”).  We are not in the business of delivering audiovisual materials.  Rather, the display and use of Videos on the Site is incidental to our business and merely a peripheral part of our marketing strategy.  The provision of Videos on our Site is not an admission by SOPHE and it shall not otherwise be interpreted, in any form or manner, to mean that SOPHE is a “video tape service provider” for purposes of the Video Privacy Protection Act (codified as amended at 18 U.S. Code § 2710) (the “VPPA”) or that SOPHE is otherwise subject to the VPPA.

We may collect personal information with respect to you viewing, streaming, or otherwise accessing such Videos ,and we may disclose such personal information regarding your video-viewing history on the Site to third parties, such as analytics providers and social media platforms, through the use of cookies, pixels, or other tracking technologies for analytics, marketing, and service improvement purposes.

Consent to Collect, Use, and Disclose Video Viewing History

By viewing, streaming, or otherwise accessing Videos on the Site, you hereby acknowledge, agree, and consent to the following:

Collection. We may, through the use of cookies and similar tracking technologies, collect personal information with respect to you viewing, streaming, or otherwise accessing Videos.  Such personal information may include: (i) identifiers that can be used to recognize you or the device you use to access our Site over time and across different services, such as a device identifier, an IP address, mobile ad identifiers, and similar data; (ii) the Video(s) you viewed, streamed, or otherwise accessed, including the nature, scope, and duration of such access and (iii) identifiers associated with your social media account, or similar online accounts.

Withdrawal of Consent. Submission Process

As a member or participant, you can:

  • Update your profile information
  • Choose communication preferences
  • Opt out of specific marketing
  • Request your information
  • Request corrections or deletion of optional data

We want to ensure that we keep only the most accurate and up-to-date information about you in our records. Therefore, whenever you believe that your contact information needs to be updated, you can email us to correct or update it. You may choose at any time to remove your name, telephone and fax numbers, and postal and email addresses from the lists we use to send notices or updates and elect not to receive correspondence from us. Users may request that the Society for Public Health Education refrain from disclosing to third parties the data it collects on its membership application form or any other form on which users are providing information.  If a request is submitted in an incorrect manner or if it is deficient, we will either (1) treat the request as if it had been submitted via the designated manner, or (2) provide you with specific directions on how to submit the request or remedy any deficiencies, as applicable.

When submitting other privacy requests, please include your full name, contact information, state of residence, and the specific right you wish to exercise. We will respond to verifiable requests within 45 days, or as applicable state laws require. We will not discriminate against you for exercising any of these rights.

Your State Privacy Rights

Depending on your state of residency, you may have certain rights related to your personal data, including:

  • Access and Data Portability. You may confirm whether we process your personal data and access a copy of the personal data we process.
